Documents and messages
Add a document
Section titled “Add a document”- Open Settings → Documents.
- Add a document, choosing an uploaded file or a link.
- Give it a useful title and choose who it applies to. Leaving the audience empty applies it to everyone.
- If people must sign, enable signing and review the agreement statement.
- Save, then check that the intended people can open it.
Signing records the document version, typed name, agreed statement and time. A new version asks for a new signature. Archiving a document hides it from current use while keeping its history. Check the difference between editing wording and publishing a new version before making a change.
Send a message
Section titled “Send a message”Open Messages, select the audience and write the subject and body. Review the recipient selection before sending. You can use a pinned notice on the home screen as well as, or instead of, email where the screen offers it.
Messages, reminders and other app emails share the external email service. Read any allowance warning, and send a test to yourself when you need to check the wording. A notice being saved does not prove an email reached someone’s inbox.
Check failures
Section titled “Check failures”The backend records sending failures as well as successful sends in an Email log. The current web screens do not expose that log, despite some error messages referring to an “Email log tab”. Ask the service operator to check the record and provider delivery status before retrying.
Organisation reply-to details and email wording live in Settings → Organisation and Settings → Emails. External sender-domain and delivery configuration are maintained by the service operator, not by changing a person’s profile.
