Import and export records

  1. Open People → Import and download the template.
  2. Prepare a CSV with one person per row, up to 500 rows per file. Use UK date order.
  3. Upload it and run the check.
  4. Read the proposed changes and row errors. Fix errors before applying those rows.
  5. Decide whether to send invitations. Apply only the rows you intend to import.

Existing email addresses are skipped by default. Update them from the file matches people by email and changes the populated cells. Blank cells do not erase existing information. Teams and roles in a populated cell replace the current lists. Status, access levels and reporting lines are not changed by this update mode.

The fields you can import depend on your permissions. Pay rates, sensitive details and extra form questions still require the relevant access.

Teams, roles, locations and training/check types can be imported from their Settings lists. Training records, DBS history and one-off shifts have import actions in their relevant management screens.

These imports add records; they do not edit or delete existing ones. Duplicate records are skipped. People are matched by email and must be within your management scope. Shift imports create current or future one-off shifts without booking people onto them. Role pay rates are not imported.

Imported training is unverified unless you explicitly mark it verified. A DBS certificate only counts as physically seen when a sighting date is supplied.

Use the relevant Export or download action. Export permission is required in addition to permission to see the records. Management scope still applies.

Downloads from import dialogs use the layout accepted by their importer. Store exports securely and check the audience before sharing them. CSV exports protect against spreadsheet formula injection, but they still contain the data you were authorised to download.
